If you’re the entrepreneur who wants to host retreats profitably, here’s something you may not wanna hear: chasing new leads for every single launch is the most expensive way to run this business. You already know how to make money with retreats – you’ve filled seats before. But if your marketing starts from zero every time, you’re leaving your warmest, easiest-to-convert guests sitting untouched in your inbox.

Those guests are your alumni. Build a real retreat alumni system and you stop relaunching your business every quarter and start compounding it.

Why Chasing New Leads Every Time Is the Hard Way to Make Money With Retreats

A brand-new lead has never met you, never trusted you, and has a dozen questions before they’ll hand over a deposit. A past guest already knows your energy, your hosting style, and exactly what they’re signing up for. That’s not a small edge – it’s the difference between a 30-day sales cycle and a same-day yes.

Every retreat leader I coach who’s actually profitable, not just breaking even, has one thing in common: a chunk of every roster is repeat faces. New guests are how you grow. Alumni are how you stop starting over.

The 48-Hour Rule

Your alumni system doesn’t start three months before your next retreat. It starts the moment the current one ends.

  • Send a personal thank-you – not a form email – within 48 hours
  • Ask for feedback while the experience is still fresh
  • Share professional photos fast, while they’re still glowing about the trip
  • Tease “next year” before they’ve even unpacked their bags

Miss this window and you’re back to cold outreach later. Hit it, and you’ve planted the seed before they’ve left the property.

Build a “Come Back Every Year” Offer

A retreat alumni system needs an actual offer, not some vague hope that people will rebook. Give past guests something a brand-new lead doesn’t get:

  • A signature annual retreat they can circle on the calendar every year
  • Early access before you open registration to the public
  • Alumni-only pricing or a loyalty perk (not necessarily a discount – protect your margins)
  • First right of refusal on limited spots or a favorite room
  • An alumni only experience

This is where profit lives. You’re not spending a dollar on ads to fill these seats – you’re just honoring the people who already said yes once.

The Entrepreneur Who Wants to Host Retreats Profitably Keeps the Relationship Alive Between Retreats

The gap between retreats is where most leaders lose alumni without realizing it. No contact for eight months, then a launch email out of nowhere, feels transactional. Stay present instead:

  • A private community or Facebook group just for past guests
  • A quarterly check-in email that isn’t a pitch
  • Personal touches – a birthday note, a share of their photos, a shoutout on social
  • Behind-the-scenes previews of what’s coming next year

You’re not nurturing a lead list. You’re maintaining a community that happens to buy from you every year.

Let Alumni Become Your Referral Engine

Past guests are also your best marketing channel, if you actually ask. Give them an easy way to bring a friend – a referral perk, a plus-one incentive, or simply permission to share your retreat with people they think would love it. Ask for a testimonial while the glow is still fresh, and tag them in your recap posts so their own audience sees it too.

A retreat alumni system isn’t a nice-to-have add-on. It’s how you turn retreats into recurring revenue instead of a one-and-done event you have to relaunch from scratch every single time.

For me, my alumni are my most precious asset, but not just as a business tool- as in they are special to me directly. I nurture them not just because they are the easiest repeat business, but because they have trusted me already, and I want them to know how much I value that trust.

FAQ

How many retreats do I need to host before an alumni system makes sense?

One. Even after your very first retreat, you have a small group of people who already trust you. Start the 48-hour follow-up and the alumni-only offer immediately – don’t wait until you’ve “earned” a system.

Should I discount retreats for repeat guests?

Not automatically. Protect your margins with perks instead – early access, a bonus experience, or first pick of rooms carry real value without training your best guests to wait for a sale.  I do offer a small discount to alumni, but that isn’t the way you HAVE to go.

What if my retreat topic or theme changes every time?

Alumni still count. They’re not necessarily coming back for the exact same theme – they’re coming back for you. Keep the relationship warm and pitch the new theme as the next chapter, not a completely different offer.

How do I ask past guests for referrals without sounding salesy?

Make the ask specific and easy: “If one friend came to mind while you were here, send them my way – I’ll take care of them.” That’s a favor, not a pitch and you’re giving them a positive guest experience from the start.

What’s the real ROI difference between alumni and cold leads?

Cold leads cost you ad spend, content, and weeks of trust-building before they convert. Alumni already did that work once. The margin on a repeat guest is almost always your highest margin in the business.
